Host an Event During AI Agent Week 2026

Everything you need to plan, promote, and run a successful event. Please read through this guide before submitting your event.

Co-Hosted by the AI Agent Conference

Every AI Agent Week event is officially co-hosted with the AI Agent Conference. Your event benefits from the conference's brand, audience, and promotional reach. In return, all events must follow the branding and communications guidelines below.

Key Dates

May 4–5 (Mon–Tue)AI Agent Conference — main conference days. Evening side events welcome; avoid scheduling during daytime.
May 6–8 (Wed–Fri)Open for all event types — daytime and evening events are welcome.

Event submissions are accepted on a rolling basis. The sooner your event is confirmed, the sooner we can help co-promote it.

Event Types & Formats

AI Agent Week is intentionally flexible. We encourage creativity. Here are some formats that work well:

Workshops

Hands-on, interactive sessions (2–4 hours)

e.g. “Building Your First Multi-Agent System

Panels & Fireside Chats

Moderated discussions with industry leaders (1–2 hours)

Demo Days

Product showcases where startups or teams present what they've built (2–3 hours)

Networking Breakfast/Lunch/HH/Dinners

Curated gatherings to connect the community (1–3 hours)

Hackathons

Build sessions where attendees create something real (4–12 hours)

Meetups

Casual community gatherings around a shared interest (1–2 hours)

These are suggestions, not constraints. If you have a creative format in mind, we'd love to hear about it.

Open vs. Application-Based Events

Your event can be open to everyone or you can use an application or approval process to curate attendees. Both models are welcome. If your event has limited capacity or a specific audience (e.g. executives-only dinner, invite-only roundtable), an application process can help ensure the right fit. Just make sure your registration page clearly communicates how attendees can join.

Branding & Communications

Consistent branding helps attendees recognize AI Agent Week events and builds trust across the full week of programming. Please follow these guidelines.

Event Naming

All events should include the AI Agent Week attribution in their title or subtitle:

Co-Host Attribution

Every event listing, registration page, and promotional material must include:

This should appear on your event page, email invitations, and any slides or signage.

Hashtags

Use the following hashtags in all social media posts:

Logo Usage

The AI Agent Conference logo should appear on your event page and materials. Do not alter, recolor, or distort the logo. The AI Agent Conference logo should appear at equal or greater prominence than sponsor logos.

Host Responsibilities

Before Your Event

  • Submit your event details for approval
  • Set up registration (Luma, Eventbrite, etc.)
  • Confirm venue, AV setup, and catering
  • Follow branding guidelines on all materials
  • Promote your event and tag AI Agent Week

Day Of

  • Arrive early for setup and AV checks
  • Manage check-in and welcome attendees
  • Keep to the schedule
  • Capture photos and key moments
  • Mention the AI Agent Conference co-hosting

After Your Event

  • Send thank-you notes to attendees and speakers
  • Share photos and recaps with the organizing team
  • Collect attendee feedback
  • Report attendance numbers and highlights

Choosing a Venue

Choose a venue that fits your event format and expected attendance. Many NYC coworking spaces, restaurants, offices, and event venues work well. Need help? Let us know — we may be able to connect you with partners.

AV & Tech Essentials

  • Reliable WiFi for your expected headcount
  • Projector or large screen for presentations
  • Microphone for groups over 30
  • Sufficient power outlets and charging stations

Accessibility

Please ensure your venue is accessible to all attendees, including wheelchair access, accessible restrooms, and clear signage.

Code of Conduct

All AI Agent Week events must be welcoming, inclusive, and professional. As a host, you are responsible for enforcing the code of conduct at your event.

  • No harassment, discrimination, or intimidation of any kind
  • Foster open, constructive dialogue
